Should I outsource my payroll?

How many hours a pay period does it take you to complete your payroll? With April 2019 bringing in many legislative changes in your business is payroll one thing you can clear off your desk and outsource it to a reliable service provider?

Q: What changes are coming in April 2019?

National Minimum Wages rates increase to:

Employees over 25 £8.21
Employees 21 to 24 £7.70
Employees 18 to 20 £6.15
Employees below 18 £4.35
Apprentices £3.90

Employment Rights Act 1996 (Itemised Pay Statement) (Amendment) (No.2) Order 2018 comes in to force on 6 April 2019, whereby employers must deliver itemised payslips to every worker on their payroll.
Currently you must show:
• The employee’s gross salary/wages
• Deductions (tax, NI, etc)
• Net salary/wage amount received

Under the new legislation you must also show hours worked either as:
• A single, combined amount, or
• An itemised list of hours worked for different rates of pay

And of course, let us not forget the B word, Brexit. Whilst employers are discouraged from providing immigration advice to their employees from the EEU it will be good practice to identify those workers and encourage them to apply for settled status by the deadline of 31 December 2020.

Q: Is the payroll provider registered as an Agent with HMRC?
Reputable Agents are registered with HMRC to enable them to communicate direct on your behalf.

Q: What is included in the service?
Do they provide hard copy or electronic payslips?
Will they deal with statutory payments and help guide you with regards to SSP, SMP, SPP and SAP?
Will they submit the RTI, EPS and FPS on your behalf?

Q: What experience do they have?
Look for testimonials and ask them if they are accredited by a recognised body.

Q: What else can they do for you?
If you have sub-contractors, can they deal with them for you? Can they produce your journal for entry in to your bookkeeping software? Or better still, is their software able to integrate with yours?

Q: What support do they offer?
Can you pick up the telephone and ask for advice from one point of contact?
